What this covers
Jaego is a Shopify app for purchase orders, receiving, stocktakes, barcode labels and low-stock reordering. This policy explains what the app and the jaego.co website collect, why, and how to have it deleted. Questions go to support@jaego.co.
What Jaego reads from your Shopify store
The app asks for four permissions: read products, read inventory, write inventory and read locations. With them it copies the following into its own database so it can work quickly:
- Products and variants: titles, SKUs, barcodes, prices, unit costs, tracked status and the first image.
- Inventory: quantities per location, and your location names.
- Shop details: name, billing address, currency, time zone and logo. These appear on the purchase order PDFs you create.
What Jaego does not collect
Jaego does not ask for customer or order permissions and stores no data about your customers or their orders. When Shopify sends a customer data request or a customer erasure request, there is nothing to return or delete, and the app confirms that to Shopify.
Barcode scanning uses your device's camera inside your own browser. The video is read on your device and is never uploaded or stored; only the scanned code is sent to Jaego, to find the product and add to the count. The phone scanner opens from a link that works for 12 hours and can only add counts to one stocktake.
What you add yourself
You enter suppliers (names, contact names, email addresses, phone numbers, addresses, payment terms), purchase orders, receipts, stocktake counts, label jobs, reorder points and notes. You can upload supplier invoices and packing slips as PDF, JPG or PNG files. CSV files you import are read when you upload them and are not kept; only the suppliers, product links and reorder points they create are saved.
Supplier contact details can include personal data about people who work for your suppliers. You are responsible for having a reason to hold it. Jaego processes it on your behalf and only to run the features you use.
How the data is used
Data is used to run the app for your store: building purchase orders, updating Shopify inventory when you receive stock or apply a count, working out what is running low, and generating PDFs and labels. When you send a purchase order, Jaego emails the PDF to the supplier address you entered, with your reply-to address. Billing runs through Shopify.
Jaego does not sell data, does not show advertising and does not build profiles. Error reports and logs are used to find and fix faults.
Who else handles the data
Jaego uses a small number of service providers to operate. Each handles only what its job needs:
- Shopify, which supplies the data above and handles billing.
- Fly.io, which runs the app on servers in Virginia, United States.
- Neon, a managed PostgreSQL database provider, which stores the app's data on Amazon Web Services servers in Virginia, United States.
- Cloudflare R2, which stores the invoice files you upload in a private bucket. Files are only served through short-lived links after the app confirms they belong to your store.
- Resend, which delivers the purchase order emails you ask the app to send. The message and the PDF pass through it.
- Sentry, which receives error reports from the app's server and from the page in your browser (the error message, where in the code it happened and the page path). The app removes request details, headers, query strings, cookies and user information before sending.
How long data is kept
Data is kept while the app is installed. After you uninstall, Jaego marks the store inactive and removes its stored access tokens straight away. Shopify then sends an erasure request, usually 48 hours after the uninstall, and the app deletes everything it holds for your store, including uploaded files. If that request never arrives, the data is deleted 30 days after the uninstall at the latest.
You do not have to wait. In the app, Settings has a button that downloads all your data as a ZIP of CSV files and another that deletes all of it. Database backups kept by Neon are overwritten as its restore window moves on.
How the data is protected
All traffic uses HTTPS. Shopify access tokens are encrypted in the database. Every request is checked against the logged-in Shopify store, and each store's data is kept apart from every other store's. Webhooks from Shopify are verified before they are processed. Uploaded files sit in a private bucket.
Your rights
Depending on where you live, you may have the right to see, correct, export or delete personal data we hold, and to object to how it is used. Most of this you can do yourself in the app. For anything else, write to support@jaego.co and we will answer within 30 days. Supplier staff whose details were entered by a merchant should contact that merchant first.
Children
Jaego is a business tool and is not aimed at children.
Changes to this policy
When this policy changes, the new version is posted here with a new effective date. If the change affects how your data is used, we will also tell you in the app.
